Terms & Conditions — Andover Half Marathon & 10km

Acceptance & Assumption of Risk

By registering for and participating in the Andover Half Marathon & 10km 2025, you automatically agree to all the Terms & Conditions below. You also confirm that you fully understand and accept all risks associated with participation, including but not limited to injury, illness, or other harm that may result from your involvement.

1. Definitions

  1. “Event” means the Andover Half Marathon & 10km taking place on 26 October 2025 in Andover, Hampshire.
  2. “Participant” / “you” means any person who has registered, completed any required payment, and is accepted to take part in the Event.
  3. “Organiser” / “we” means Seasons Run Club, 133 Ryeland Way, Andover, Hampshire, SP11 6RH, UK.

2. Entry, Registration & Eligibility

  1. Entry & Registration. You must complete the official entry process, provide accurate details, and pay any required fee. Your entry is confirmed only once payment has cleared and you receive formal confirmation from us.
  2. Age limits. Minimum age 16 for the Half Marathon and 13 for the 10km (on race day). Parent/guardian consent required where applicable.
  3. Health declaration. By entering, you confirm you are physically fit to participate. Seek medical advice if unsure and inform us of any condition that may affect safe participation.

3. Changes to the Event & Cancellation

  1. Changes. We may change date, start time, route, cut-offs, or other logistics for safety, regulatory, or operational reasons. We will notify participants as soon as reasonably possible.
  2. Cancellation. We may cancel due to force majeure or events beyond our reasonable control (e.g., extreme weather, governmental restrictions). We will make reasonable efforts to notify participants.
  3. Withdrawals. If you decide not to partake, see Section 5 (Refunds & Insurance).

4. Prizes, Timing & Course

  1. Timing. Chip timing will be used. We may correct results in case of technical malfunction, in consultation with timing officials.
  2. Prizes & Awards. Awards will be as published prior to the Event; we may alter prize categories or levels, with notice where possible.
  3. Route & Safety. You must follow the published route, obey marshals, signage, cut-offs, and safety instructions.

5. Refunds & Insurance

  1. No Refund Policy. Entry fees are non-refundable under this agreement, except where you have paid for third-party insurance offered at checkout.
  2. Insurance-Based Refunds. If you opted in and paid for such insurance, refund requests will be handled according to that insurance provider’s terms. We are not responsible for guaranteeing coverage beyond what the insurance offers.
  3. Event Cancellation or Significant Change. If the Event is cancelled entirely or significantly altered (e.g. major route/date change), we will notify you and offer either a refund of the entry fee (where applicable) or an option to defer to a future event edition.

6. Participant Conduct & Obligations

  1. You must follow instructions from event officials, marshals, medical staff, and safety personnel.
  2. You must abide by all safety rules, route instructions, cut-off times, and published guidelines.
  3. You are expected to act responsibly — no actions which endanger others or disrupt the event; no substance abuse; respect for property, the environment, fellow participants & spectators.
  4. If any mandatory equipment is required (e.g. timing chip, safety gear, etc.), you must use or carry it as instructed.

7. Liability & Waiver

  1. Participation is at your own risk. Inherent risks (falls, collisions, weather, traffic, uneven terrain, etc.) are part of the Event.
  2. You release and hold harmless Andover Half/Seasons Run Club/Seasons Enterprise Limited, its directors, volunteers, sponsors, contractors, landowners, and agents from all liability for injury, damage, loss, or expense incurred by you in relation to your participation, to the fullest extent permitted by law.
  3. Nothing in these T&Cs limits liability for death or personal injury caused by our negligence, or any liability which cannot be excluded under applicable law.

8. Health & Medical Treatment

  1. Medical assistance will be available during the Event, but you are responsible for your own medical insurance and any costs beyond what event medical staff can provide.
  2. You authorise event medical staff to provide necessary emergency treatment.
  3. If medical staff deem you unfit to continue, we may prevent you from starting or finishing.

9. Data Protection & Image Rights

  1. You consent to us collecting, storing, and using your personal data (name, contact info, emergency contact, health info, etc.) for Event administration, safety, results publication, and communications.
  2. Results (including name, age category, gender, finishing time) may be published via website, social media, and race reports.
  3. You grant us the right to use photographs, video, or audio recordings of you at the Event for promotional, advertising, or reporting purposes to the extent permitted by law, without further compensation.

10. Disqualification & Removal

  1. We reserve the right to disqualify or remove you from the Event for any breach of these T&Cs, false information, failure to follow instructions, unsafe behaviour, or if deemed unfit to continue.
  2. Disqualification may result in forfeiture of any prize, result, or benefit associated with the Event.

11. Insurance & Indemnification

  1. We hold public liability insurance for the Event. This does not cover personal injury, loss or damage to personal property, travel, accommodation, or other personal costs.
  2. You agree to indemnify us against any claims, losses, costs, or liabilities arising from your breach of these T&Cs or through negligent or wrongful acts on your part.

12. Course Marking, Marshals & Check-Points

  1. The Event course will be fully marked and marshalled. Participants must follow the marked route, obey marshals, and respect all signage.
  2. Aid stations, checkpoints, and marshals will be placed at regular intervals to assist participants, provide water, medical assistance, and safety guidance.
  3. Participants agree to retire from the Event if instructed by safety or medical personnel, especially if continuing presents a risk to health or safety.

13. Weather Conditions & Environmental Responsibility

  1. The Event will proceed under most weather conditions. However, in extreme weather (heatwaves, storms, etc.), the Organiser reserves the right to delay, modify or cancel parts or all of the Event in the interest of safety.
  2. Participants should prepare for a range of weather conditions and bring appropriate clothing, hydration, sun protection etc.
  3. Environmental responsibility: participants must respect the countryside — no littering, use designated paths, follow “leave no trace” principles. Any damage to private land, vegetation or wildlife caused by participants may result in disqualification and/or restitution claims.

14. Charity Donation

  1. All donations gathered from entries (Half Marathon & 10km) will be donated to our headline charity, Maggie’s. 
  2. Participants may be asked, optionally, to support further fundraising; this is not mandatory.

15. Governing Law & Dispute Resolution

  1. These Terms & Conditions are governed by the laws of England & Wales.
  2. Any dispute arising under these T&Cs shall be subject to the exclusive jurisdiction of the courts of England & Wales.
